This week I'm after workflows and ideas from the brilliant TTT community to help another member who's having issues with tasks.
I had an email last week from someone struggling to see when they need to do "Today" in Evernote.
They use a combination of note reminders and tasks with some advanced searches to see note reminders for today or the next couple of days.
How do you manage seeing what you need today? Leave your workflows in the comments, I'd love to hear them.
For me, I have ditched note reminders. I don't think I have any... just checked and I have none!
I've moved everything over to Evernote tasks.
I also keep the task view in Evernote on "Today" so I get a good idea of what’s overdue, on for today and due tomorrow. This is kind of the main overall view of my tasks for the day.
This is a screenshot from today and I've already completed a bunch of recurring admin tasks and the ones left are just work for ongoing projects. This little system is working well for me.
I also pair this up with a daily note, which I must admit I only use on busy days when I'm in the office. When I'm travelling or just on one job I ditch it.
I write down four or five things I MUST do today and this kind of keeps me focused. It takes me around 5 mins each morning to sort out my daily note.
I also keep my daily note opened in a new window and pinned to the right of my second monitor so it's always on show.
A combination of task view and daily note keeps me organised.
Where to put all these tasks is another matter as tasks live inside a note.
For all generic tasks I use a catch-all "Work Tasks" and "Personal Tasks" note and this is where the majority of my tasks live as they’re just admin tasks, don't need extra information.
For tasks that need more context I'll create one of the following:
A task note for a small project that contains everything for that project
A task in a note related to a project or in a project task note. For larger projects with multiple notes and lots of context I add the task to the projects task note or a specific note in that project.
A task in a client profile note for recurring tasks for that client.
A task in a specific note related to, for example, my car. When do I need an MOT/Service.
From within the main task view window, I can see the note the task belongs to and click it to get to all the information I need.
This is the best way I've found of managing my tasks in Evernote.
I moved everything over from Todoist a couple of years ago and it took a while to get used to the change, some habits needed building but now I'm pretty happy with how it all runs.
How are you managing tasks for today? Do you use reminders, tasks, tags? Leave your workflows in the comments.
And finally...
A new official blog post has gone live on the Evernote website championing what they've achieved over the first six months of the year.
There's been 110 improvements including a bunch of new features and functionality.
Have a great weekend
All the best
Jon
I can't write out my entire task system right now, but I thought I'd throw in that I use Note Reminders to track large Projects versus Tasks. For example, each year we have to organize a graduation ceremony, which is pretty involved. I have a note with the usual tasks, notes, and links to sub-notes. I need to start planning the ceremony about four months out, so I set a reminder date four months out. When it pops up, I assign dates and people to all the tasks that need doing.
I could instead dedicate a task to "Organize graduation ceremony" with the four month reminder, but I find it very useful to have a list of major projects coming up, which clicking on the Reminders tab gives me. I also like to be able to periodically review each of my active "Projects" to ensure they are making adequate progress and to alter tasks and task dates if need be and to be able to quickly report out where everything stands.
Question - is it possible to get audible (sound) notifications for Tasks, as well can with Note Reminders?
Thank you!
